Job summary

An opportunity for a highly motivated individual to join UHB's Payroll Team has arisen. As a Senior Payroll Officer, you will:-

Provide an accurate and timely payroll service for our clients.

Be responsible for a section of weekly and monthly payroll.

Work with the Team Leader to ensure the team's work is managed effectively and in accordance with the payroll deadlines

Process in accordance with statutory and NHS national terms and conditions of employment.

Assist with training of new staff

Act as mentor as required for new and junior staff

We are looking for an organised and efficient person, who is able to work to strict deadlines. You will be able to organise and prioritise your workload to ensure all the work is completed in conjunction with deadlines. You should have a professional telephone manner and be able to deal with difficult calls if necessary.

Main duties, tasks & skills required

* Manage an allocated section of weekly and monthly payroll ensuring staff are paid accurately and in a timely manner. Processing of all information received in relation to allocated payrolls, within current and previous pay periods, to include: New starters/leavers, Changes to contract -- hour changes, promotions, demotions. Sickness, Maternity pay, Paternity Pay, Adoption Pay & TIA calculations. Calculation of protections, Acting up. Implementation of AEO, student loan, DEO, P45's etc. Calculation of back dated information, and checking on retro run. Calculate and apply overpayments to the ESR payroll system, and complete necessary documentation. Calculate, raise and recover advances of pay where necessary. Reconcile negative payments and amend on ESR. Identify and correct RTI errors and monitor the resolution. Run and Check of a variety of payroll reports Responsible for the sign off of payrolls for first send processing. To assist other colleague with their allocations where necessary and provide cover for absences. Be able to deal with difficult phone calls and relate complex information in an understandable format, and on occasion to deal with these calls on behalf of junior members of the team. Communicate effectively in person, by telephone or in writing to include confident use of all Microsoft packages. To confidently deal with requests for advice or assistance with queries from employees, colleagues, managers and external agencies including the HMRC.

Qualifications

Essential

Minimum of 5 GCSE's at grade C or above to include Maths and English

ECDL or equivalent computer skills as a minimum

Excellent working knowledge of all payroll regulations

Desirable

CIPP

Experience

Essential

Significant experience working in an NHS payroll environment at a payroll Officer level

Experience of managing own workload and payroll allocation

Experience of managing a small team of staff to ensure deadlines are met

Additional Criteria

Excellent customer care skills in promoting reputation of payroll function

Ability to interpret and correctly apply regulations to documents processed.

Ability to provide explanations of actions taken and other information both verbally and in writing and in a professional manner.

Ability to use specialised computerised application requiring expert knowledge to manipulate and retrieve data.

Ability to use Microsoft office software to a good standard to complete existing templates and spreadsheets and create new ones where appropriate

Ability to prioritise workload and meet strict deadlines

Proven interpersonal skills to build and maintain relationships

Ability to adopt a flexible approach, working on own initiative as well as part of a team

Excellent telephone manner

Attention to detail and accuracy.

Be able to work flexibly to meet the needs of the service

Other information:

UHB has a large complex payroll service that operates with one of the lowest ratio of payroll officers to employees in the NHS

The post holder organises own workload.

Plans up to one month ahead for the accurate and timely payment of payrolls within pre-set timescales

The post holder is responsible for maintaining his or her knowledge in relation to national, local and statutory regulations and terms and conditions of employment, the post holder is required to demonstrate a high degree of accuracy in relation to the interpretation and application of the following terms and conditions of employment:
