Job summary

An exciting opportunity has arisen for a full time CF Physiotherapy Administrative Assistant (50%) and CF Database Annual Review Coordinator (50%) at the West Midlands Adult CF Centre which is within the Department of Respiratory Medicine based at Birmingham Heartlands Hospital.

We are seeking an enthusiastic, professional, team player with excellent analytical, communication and customer care skills who has the ability to interact with patients, colleagues and healthcare professionals in an efficient and friendly manner.

Must have previous experience within an administrative role and have good organisational skills together with excellent IT & keyboard skills and an eye for detail as accuracy is essential when inputting data onto the CF Registry.

This is a full time position (37.5 hours) based at Heartlands Hospital.

Main duties, tasks & skills required


Responsible for data inputting into Trust IT Systems & the CF Registry

Organise own day-to-day work tasks showing an ability to prioritise in order to achieve set timescales

To provide a point of contact for service users

Liaise with staff, patients, service users and external agencies

Scanning and uploading of documents

Registering routine servicing and faults with equipment

To undertake where required typing which may include touch type from audio and/or copy type from written documentation which may include letters, emails, reports and any other correspondence as required

Ability to analyse and extract complex data sets in relation to patient information from a number of different sources

Undertake work that has been prioritised by the Supervisor / Line Manager

Ensure all information held is kept up to date

Deal effectively with complaints either face to face or on the telephone, and escalate concerns where necessary

Receiving and dealing with telephone enquiries as appropriate

* Good General Education (e.g. GCSE English and Maths A-C) GCSE Level 9-4

* Business Administration NVQ level 3 or equivalent experience in an administrative environment

* Experience of dealing with the Public/Customer service experience

* Experience of working with a range of Microsoft Office packages (eg. Word,Excel and Outlook)

* Experience of using IT systems
