Job summary

We are currently looking to recruit a Band 3 Administrative Support Staff to join our busy Endocrinology and Metabolism Department at the Birmingham Heartlands Hospital.

We are seeking for a dynamic, enthusiastic, motivated and pro-active individual to support our Endocrine Specialist Nursing Team. Successful applicant will be providing administrative support to the Endocrine Specialist Nurses and will be working closely with other medical secretaries and outpatient staff within the Endocrine, Diabetes and Metabolism Service (EDM) and will be expected to provide a professional and high quality clerical and administrative service at all times. This is a full-time fixed term post for 12 months.

Applicants should have excellent communication skills (both verbal and written), good organisational skills, good computer/IT skills, be self-motivated and possess excellent interpersonal skills. Applicants should be able to work well under pressure and understand your role within the team. A flexible approach to work will be essential in this constantly developing and adapting service. Main duties, tasks & skills required

*Provide administrative support to the Endocrine Specialist Nursing Team.

*Type all required correspondence relating to out-patient and day case appointments.

*Format any external transcribing and ensure correct storage.

*Maintain and update local and national databases as required and generate required report as agreed with the manager as required by the service.

*Type departmental correspondence /reports/minutes etc.

*Follow-up laboratory and radiology results/reports and ensure they are brought to the attention of responsible clinician/s for review and if necessary, to the patients' GP and are filed appropriately in patients' notes.

*Organise medical case notes as appropriate for the clinics and wards and return them to Medical Records Department as per the Trust's protocol.

*Receive enquiries from patients and staff, resolving straightforward enquiries and forwarding more complex issues to the most appropriate member of the team.

*Liaise the relevant departments regarding admissions, waiting lists and cancellations.

*Use the hospital electronic Patient Administration System (PAS) to update patients' records and update the waiting list as appropriate.

*Ensure accurate filing of patient records.

*Ensure essential case folders retained in the office are in correct identifiable order.

*Arrange patients' new and follow-up appointments as required using PAS system.

*Provide reciprocal cover for secretarial team during annual leave and sickness.

Qualifications

GCSE or equivalent Pass English

* RSA II or equivalent speed and

accuracy

* NVQ level II admin or equivalent skills

* Medical Terminology

Experience

Relevant secretarial experience to

include medical terminology.

* Demonstrates full understanding of

the key functions of a medical

secretary's role

* Demonstrate understanding of patient

confidentiality.
