And we have an exciting opening for you to join our busy Medical Secretarial team within Respiratory Medicine at Heartlands. The post is 22.5 hours (Wednesday to Friday).

Our Medical Secretaries provide a highly valued service so if you have experience and a proven track record of working as a Secretary/Admin and have accurate and fast audio-typing skills this might be the role for you.

You will provide a full secretarial service to our busy department, working closely with our clinical teams to provide safe and effective management of our patients. You should be well organised, be able to multi-task, and stay calm under pressure with the flexibility to respond to any changing service demands at short notice. You should also have knowledge and have worked with MS Office and be able to pick up new IT systems quickly. You will also be our first point of contact so you should have excellent communications skills.

Main duties, tasks & skills required

*To touch type from audio clinic letters, reports, responses to complaints

*Ensure that clinic letters and discharge summaries are sent out in accordance with the locally agreed time limits

*Receiving and dealing with telephone enquiries exercising initiative and judgement based on acquired knowledge and experience

*To maintain the Consultant's diaries

*Input and look up patient data on Trust IT systems

*To ensure Consultant's post is opened daily and dealt with accordingly

*Arrange meetings

*Arrange patients' appointments

*To manage and progress results of patient investigations and on receipt, prioritise and action according to clinical need, with guidance from the medical team

*To update and maintain the 18 week RTT status

*Organise own day-to-day work tasks, prioritising work to meet deadlines

*Book and monitor room bookings

*Work collaboratively as part of an integrated team

*To assist colleagues and undertake work that has been prioritised by the Medical Secretary Supervisor/Line Manager in times of pressure of work

*Obtaining & receiving hospital notes from Medical records Department

*To develop and maintain an efficient individual filing system on behalf of the

*Accurately input data using a variety of Trust IT systems in a timely way adhering to Caldicott and the Data Protection Act and ensure all information is kept up to date

*Prepare and scan information onto the Trust IT systems

*To be responsible for confidentiality in line with Trust policy

Qualifications

Essential

*Good General Education (e.g. GCSE English and Maths A-C) GCSE Level 9-4

*Business Administration NVQ level 3 or equivalent experience in a clerical environment

Desirable

*AMSPAR Certificate/equivalent qualification or equivalent knowledge of medical terminology

Experience

Essential

*Experience of dealing with the Public/Customer service experience

*Experience of working with a range of Microsoft Office packages (eg. Word, Excel and Outlook)

*Experience of using IT systems

*Experience of working in a busy environment

*Experience of working in Healthcare
