Band 3 Secretary - Colorectal
Job summary
Would you like to be part of a well-established, enthusiastic Colorectal Specialist Nursing Team? Our Colorectal Nursing team provides care and support for patients with colorectal cancer and for patients who require stoma management across 3 hospital sites in both inpatient and outpatient settings. We have a vacancy for 37.5 hours per week secretary to the nursing team. The post holder will be required to work across the three sites as service requires supporting the clinical staff and service users.
The post holder will provide a comprehensive and efficient secretarial and administrative service to the team, whilst displaying empathy and sensitivity to patients/relatives/carers/GPs and other Health Care Professionals. The postholder will possess a knowledge of secretarial practices, software programmes used by the Trust, understand medical terms and whilst maintaining good organisational skills. The postholder will have a basic knowledge of work procedures, some of which will be non-routine.

Main duties, tasks & skills required
To provide a confidential secretarial and administrative service for the Colorectal Nurse Specialist team in a timely manner adhering to Trust policies and procedures.
Duties include:
*Providing a point of contact for patients, relatives, General Practitioners, other multi disciplines and departments. Take appropriate action to ensure effective communication between members of the team. To use judgement and discretion in the urgency of reporting such information to senior colleagues. Some calls will be of a sensitive/distressing nature and the ability to act in a professional and sympathetic manner is essential.
*Supporting the telephone helpline service under the supervision of the nurse specialists, triaging appropriately.
*Typing from audio/nursing entries, general correspondence, result letters, discharge summaries, reports etc, requiring the use of medical terminology. Some documents may be of a complex or distressing nature. To record and distribute minutes from departmental meetings
*Checking and booking appointments on the Trusts computer systems, input, alter and update confidential data
*Maintaining an efficient filing system as required, obtain medical notes, receive and distribute post, stock ordering, photocopying/scanning and administration of user surveys
*Occasionally organising patient meetings, educational events, stoma Open Days or make travel arrangements.
