Job summary

An exciting opportunity has arisen at University Hospitals Birmingham (UHB) for 2 Group Support Administrators within Division 5. The roles offer the opportunity to provide a comprehensive and full ranging administration/co-ordination service to Division 5 specialities. Working in conjunction with colleagues, service users and stakeholders to provide an efficient service and support delivery of Referral to Treatment (RTT) targets.

The post holder will provide a comprehensive and efficient Administration/Co-ordination service. It is essential that the post holder exercises initiative and judgement using acquired skills and knowledge, maintaining confidentiality at all times. The post holder will provide an empathic and sensitive point of contact for service users. The post holder will be responsible for the day to day training and supervision of other administrators/Co-ordinators and clerical support workers.

The post holder will join a well-developed team and will be encouraged in their learning and experience by friendly and supportive colleagues.

Main duties, tasks & skills required

A confidential administrative/Co-ordination service to support the Division with delivery of key performance targets such as RTT and Cancer Treatment targets.

To ensure the organisation of meetings, preparation of agendas and taking of minutes. All work is to be carried out on own initiative, without direct supervision and to tight deadlines, in order to achieve Trust standards, targets and KPIs.

To provide and receive complex information on a daily basis. To exercise initiative and judgement based on acquired knowledge and experience when dealing with enquiries of a clinical and non-clinical nature and undertaking validation of data and provide assurance.

To provide a point of contact for stakeholders and service users, who may be highly emotional and highly distressed ensuring that any language or other communication barriers are overcome.

To understand the patient pathway including RTT, capacity and demand planning as required. Deal with queries and action as appropriate to achieve Trust targets.

Knowledge and use of various Microsoft Office Software programmes including Outlook, Word, PowerPoint, Excel, Access (database) to produce letters, presentations, reports and other relevant correspondence.

Create databases to collect and monitor information to assist with the collection and provision of statistical data as required and the ability to extract, manipulate, analyse complex data sets and communicate them in an easy to understand manner.

Good General Education (eg. GCSE English and Maths A-C GCSE LEVEL 9-4

Business Administration NVQ level 3 or equivalent experience in an Administrative environment

Experience

Experience of dealing with the Public/Customer service experience

Experience of working in a Secretarial/ Administrative role with a proven track record of problem solving

Experience of dealing with the Public/Customer service experience

Good Organisational skills

Able to use own initiative and deal with the unpredictable
