Job summary

An exciting opportunity has arisen for an enthusiastic individual to take on the role of Ward Clerk Team Leader for a group of Wards at Heartlands Hospital.

The post holder will be required to operationally line manage a group of Ward Clerks. The role will consist of a strong emphasis on data quality, effective teamwork, completing monthly rosters, looking for cover. In addition to line managing ward clerks you will also be expected to undertake inpatient ward clerk duties on the ward suck as, updating the Oceano PAS system with any Admission's, Discharges, Transfers. Arranging any follow up appointment, requesting notes and filing, scanning any documents to the clinical portal as and when required to cover sickness and other absences. This is a fundamental part of the role alongside the Band 4 duties so organisation is key to be able to balance the band 2 role and the band 4 on a daily basis. The successful applicant will ideally have ward clerking experience, but this is not essential. Ideally you will also have experience of leading a team and possess exceptional motivational and organisational skills. You must be able to demonstrate the commitment and drive needed to continuously improve ward clerking processes and inpatient data quality.

There will be occasions when you are needed to travel across sites for training to be undertaken.

Main duties, tasks & skills required

The main duites of a ward clerk tam leader are to advise, support and line manage a team of ward clerks on a daily basis ensuring adequate coverage of duties across a defined group of wards, seeking bank cover as and when required, liaising with the Ward Clerk Support Manager on the use of bank staff. Highlight any staffing issues/concerns to the Ward Clerk Support Manager.

Manage and monitor staff attendance, annual leave and sickness, liaising with the Ward Clerk Support Manager when staff sickness is to be escalated.

To monitor the quality of the teams data entry in line with metrics set out by the Ward Clerk Manager by undertaking regular performance checks. Complete regular audits of service user data to comply with National Guidelines including IGT Data Quality Standards. Completing the daily data quality report and feeding back any errors to the clerks and arrange further training if identified.

Organsise and undertake yearly appraisals for each team member in line with Trust Policy, including six monthly reviews.
